Managing the Process


Working in teams, you must decide on an activity your team will organise for the class.  You can use any of the activities we have done over the year (or we have still to do) but you must introduce at least one new element to the activity. 

This will be an observed activity, and each member of the group will be 'marked' on their involvement in the planning AND the delivery of the activity and engagement with the participants.  The steps below might help you to 'manage' the process of planning and organising the activity.


Taking it Step by Step

There is no I in 'Team' !

Step 1

Decide who is going to be the 'project manager'.  This person will be responsible for ...

  • Overseeing the task.

  • Ensuring that everyone has a 'job' to do, taking into account the skillset of the individual members of the team. 

  • Ensuring that everything is in place to allow successful completion of the task.

They should have good people skills, good organisational skills, and a genuine interest in seeing the task completed to a good standard.  They should be someone who is prepared to take on board the ideas and suggestions of other members of the team, but also to take control when things are going wrong.

They must NOT be someone who has a 'my way or the highway' approach to team working.

This person will not JUST project manage the task, but will also have a role or roles within the planning and preparation of the activity.

Step 2

Everyone in the team should make suggestions for what the planned activity might be.

  • You should then work as  a team to create a short-list of 2 of the ideas proposed, and explore the practicalities of delivering those short-listed activities in full, before ... 

  • Deciding on which activity to deliver.

Your decisions about how to shortlist and how to decide on the final activity may be based on ... 

  • The resources required for the activity.

  • The skills of the team members (do they know how to do it).

  • The time available to deliver the activity (3 hours max).

  • Distance (if applicable) ... no more than 20 miles from the college, meaning max time for the activity is 2 hours once travelling time is factored in.

  • Health and Safety considerations.

  • Amount of 'advance set up required'.

Step 3

Get cracking !

Each member of the team will need to submit a completed Activity Planning Sheet and a completed Risk Assessment prior to the activity taking place.

This will be an observed process.

Not only will the actual activity be observed, but the planning process will be, too.

We will be observing ....

  • Your involvement in the planning.

  • Your engagement with the other members of your team.

  • Your involvement in the activity.

  • Your engagement with the participants and your team members.

  • How accurate and 'complete' your paperwork is.


The college can help you with some resources, but it will be up to the team to provide everything required for the activity.

For this reason ... don't plan something that is expensive to put on.
